Guided sourcing is template-gated, and it runs alongside classic rather than replacing it.
A project template is a guided sourcing template only if its properties carry Guided Sourcing Template = Yes. That one boolean is the gate. No template with that flag means no guided sourcing events, regardless of what's been enabled, licensed or demoed. Classic templates keep working — the two coexist on the same site, drawing on the same suppliers, commodity codes, users and groups.
Nothing forces a cutover, which is good for risk and bad for governance: it is entirely possible to run both indefinitely with nobody owning the decision. And almost everything else is inherited — common master data, the project template framework, user groups, ICM parameters. That is why enablement looks deceptively cheap on a plan. The steps are short. The template design, group model and master data underneath them are not.

Step 3 is the one quietly skipped. Preferred commodities are configured per user, and they feed both the recommendation engine and the personalized dashboard. A site where nobody has them set will demo as though the intelligence features aren't working — because functionally, for that user, they aren't.
For public sector, eTendering brings its own surface: public sector templates, public access pages, the European Single Procurement Document, and notice publication through the managed gateway to TED eForms or UK portals. One commercial fact for scoping: as of May 2025, new subscriptions to SAP Ariba Strategic Sourcing Suite are not available. Confirm the commercial construct before designing against Suite documentation.

Copy, don't build from scratch. You inherit a working rule set rather than reconstructing one — and it is the safer migration path for an established classic estate: copy, flag, adjust, publish alongside.

“We'll turn on guided sourcing” is not one configuration task; it is one per event type, each with rules to agree with the business.
The Japanese auction exception. Japanese auction templates require an SAP Customer Support representative to run a scheduled task to install them, initiated by your Designated Support Contact raising a service request. Not self-service, not instant. Raise it during build, not during UAT.
The limits that shape your design
Read this before the design workshop, not after. These limits apply to sourcing events generally, guided and classic alike, and they determine which event structures are possible at all.

- Parallel competitive events: maximum 200 items + lots during open bidding. Items inside basket lots don't count toward it.
- Serial and staggered competitive events: maximum 100 items per item lot or bundle lot.
- Large-Capacity RFP is the designated vehicle above 2,000 items, up to 10,000 line items — its content is worked through Excel rather than the interface. Demo that before committing.
The 700-supplier trap
The documented ceiling is 700. Defaults may be lower, and reaching it requires setting three separate parameters explicitly:

Setting one does not set the others — a site configured for large competitive events can still fail on a non-competitive RFP. And ICM validates type, not range: a wrong number saves silently.
The reporting threshold nobody mentions
Events are not sent to reporting until they reach Pending Selection, Closed or Cancelled when any of the following is true:
- More than 100 items (competitive or non-competitive)
- Items × suppliers greater than 1,000
- Non-competitive with more than 100 questions
Large-capacity events send only a summary — not line detail. Nothing errors. Explain it during enablement and you prevent the ticket; explain it during hypercare and you're arguing about it.

The AI features have a real dependency. Recommendations require an SAP AI Core instance and draw on your historical event data. A greenfield site has nothing to recommend from. If AI is the business case, be honest about the ramp.
The interface changes continuously. Ongoing UI updates deliver usability improvements without new functionality — which means screenshots in your training material have a shelf life. Write task-based documentation.
Where to search when it breaks
The strategic sourcing and contracts bucket holds 1,541 indexed articles, split 1,033 How To against 414 Problem — roughly 2.5:1. Sourcing generates questions far more than symptoms, the opposite of guided buying. When a sourcing question lands on your desk, the odds favour it being answerable from documentation. Search before you escalate.
The two guided-sourcing components that reach the top fifteen total 62 articles, against 195 for classic sourcing events alone. Searching only the GS-* components will miss most of what's relevant. Guided sourcing sits on the classic event engine — for limits, lots, bid rules, awarding and supplier invitation, search BNS-ARI-SS-EVT too.

Templates and limits
- At least one published template per in-scope event type carries Guided Sourcing Template = Yes.
- Event rules reviewed and signed off per event type — not once for “guided sourcing”.
- Japanese auction service request raised and completed, if in scope.
